S2 Blog: Twelve Application Mistakes That Delay Admission (and How to Check Before You Submit)
Twelve preventable mistakes account for roughly 80% of all deficiency letters. Most can be caught in 10 minutes with a checklist before you submit. This article walks through each one and exactly what to look for.
The Dirty Dozen
- Wrong student type (Initial vs. Transfer vs. Change of Status)
- Missing prior SEVIS ID (if you’ve been an F-1 student before)
- Dated documents (financial proof older than three months)
- Wrong email address (doesn’t match your registered email)
- Incomplete transcripts (partial or unofficial version submitted)
- Name inconsistencies (passport vs. application vs. transcript)
- Missing job description (for CPT authorization later)
- Mismatched program dates (CIP code doesn’t match your GPA or coursework)
- Bad passport file (unreadable, not bio page)
- Blank or incorrect fields (middle name missing, date format inconsistent)
- Email deliverability (confirmation email goes to spam)
- Submission confirmation not saved (can’t prove you submitted)
1. Wrong Student Type — This Is the Single Most Damaging Error
If you select “Initial” when you’re actually a “Transfer,” the school issues an I-20 for a new SEVIS record instead of transferring your existing one. This can create a status gap or trigger an extension-of-stay requirement.
How to check:
- Are you currently in F-1 status? Transfer
- Are you currently on STEM OPT or regular OPT? Transfer (not Initial)
- Are you currently on H-1B or another status? Change of Status
- Have you never been an F-1 student before? Initial

2. Missing Prior SEVIS ID (For Transfer and Change of Status)
If you’re a transfer student, the application needs your current SEVIS ID so the school can transfer your record. Submitting without it forces the school to create a new record, which creates a gap.
How to check:
- Do you have a current or recent I-20? Your SEVIS ID is printed on it
- If you don’t have your I-20, email your current school’s DSO and ask for your SEVIS ID
- Write it down and include it in the application
3. Dated Documents (Older Than Three Months)
Financial proof (bank statement, sponsor letter) older than three months usually triggers an automatic deficiency request for a newer statement.
How to check:
- Is your bank statement from the last three months? If not, request a new one before submitting
- Is your sponsor letter dated recently? If it’s more than a few months old, ask the sponsor to re-date it or write a new one
4. Wrong Email Address
If your registered email (the one you used to access the application portal) doesn’t match your actual email, confirmation emails might go to the wrong place, and you’ll miss important requests.
How to check:
- When you click “Apply Now,” what email did you register with?
- Is that the same email you’re using to communicate with your consultant?
- If there’s any doubt, confirm with your consultant before hitting submit
5. Incomplete Transcripts
Submitting only partial transcripts (like one semester instead of the full degree) triggers a deficiency asking for the complete set.
How to check:
- Do you have transcripts from every institution you attended?
- Is each transcript the complete academic record, not a partial or draft version?
- Did you request “official” transcripts, not just printouts?
6. Name Inconsistencies
Passport says “José” but application says “Jose” or maiden name on transcript but married name on I-20. We covered this in detail in Article 13, but check now.
How to check:
- Does your name match across: passport, transcript, application, bank statement?
- If not, do you have a written explanation note ready?
7. Missing Job Description (CPT Application Later)
Your resume lists a job title, but the application doesn’t include a clear description of what the job is. Later, when you apply for CPT, the school can’t confirm the job relates to your program.
How to check:
- Is your current job title and basic description included in the resume or application?
- Does it clearly relate to your program of study?
8. Mismatched Program or CIP Code
You’re applying as a master’s in Data Science, but your transcript shows a bachelor’s in Business Administration. The school needs to understand how this connects (or if there’s a second bachelor’s they’re missing).
How to check:
- Does your education history align with the program you’re applying to?
- If you’re doing a second master’s in a different field, does the application explain the shift?
9. Bad Passport File
The file is:
- Upside down or sideways
- Too dark to read
- Only the back page (they need the bio page)
- Taken at an angle (not straight-on)
How to check:
- Can you clearly read: your name, photo, passport number, dates?
- Is it the bio page (the page with your photo)?
- Is it straight-on and well-lit?
- If not, retake it before submitting
10. Blank or Incorrect Fields
- Middle name field left blank when it should have your middle name
- Date format inconsistent (12/31/2022 in one field, 31-Dec-2022 in another)
- Phone number in the wrong format
- Employment dates that don’t match your resume
How to check:
- Is every required field filled?
- Do all dates follow the same format?
- Do dates match across resume, application, and transcripts?
11. Email Deliverability: Confirmation Email Goes to Spam
You submit the application, but the confirmation email ends up in your spam folder, so you never see it and can’t track your application.
How to check:
- After submission, look for a confirmation email in your inbox and spam folder
- Save the confirmation email (including date, confirmation number, receipt)
- Forward it to your consultant as proof of submission
12. No Submission Confirmation Saved
You submit, but you don’t save the confirmation page or email. Later, the school says they never received it, and you can’t prove you submitted.
How to check:
- After hitting submit, take a screenshot of the confirmation page (show date, application ID, and your name)
- Save the confirmation email from the system
- Keep both for your records
- Share both with your consultant
